  1. Appointments, Payments, and Financial Policies

 

4.1 Appointment Confirmation and Prepayment

To secure your appointment or class booking, prepayment is required for all self-paying patients and services. Upon booking, you will either be asked for payment by our reception staff over the phone, or receive an SMS containing a secure payment link, or if booking through our online portal, payment will be collected at checkout.

We accept major credit and debit cards via our secure payment gateway, which is PSD2 Strong Customer Authentication (SCA) compliant and processed through our trusted partner.

Please note: American Express (AMEX) cards are not accepted, and we do not accept cash or cheques as forms of payment.

When you save a payment card to your account, you authorize us to charge this card automatically for future bookings, including appointments, classes, or treatment packages, in accordance with these Terms.

 

4.2 Cancellation and Missed Appointment Policy

We understand that plans can change. However, to ensure fairness and availability for all our patients, we enforce the following policy:

  • Notice Period: We require a minimum of 24 hours’ notice to cancel or reschedule any appointment or class.
  • Late Cancellations & Missed Sessions: If you fail to attend a scheduled session, or if you cancel or reschedule with less than 24 hours’ notice, you will be charged the full cost of the missed appointment.
  • Insurance Patients: Please be aware that insurance providers do not cover the cost of missed appointments or late cancellations. In such instances, the full fee will be invoiced directly to you, and you will be responsible for settlement.

 

4.3 Health Insurance Claims

For patients using private health insurance, we can typically invoice insurers directly where we hold a contractual agreement. To facilitate this, you must provide us with your complete insurance details, including membership number, authorization codes, excesses to be paid, session limits, and policy renewal date.

Important Notes Regarding Insurance:

  • You remain the primary party responsible for all fees incurred.
  • Your policy may include an excess, co-pay, or may not cover certain treatments. Any such shortfall will be invoiced directly to you.
  • If your insurer does not settle our invoice in full within 30 days, we reserve the right to seek full payment from you directly, with payment due within 7 days of invoice.

 

4.4 Late Payments

Outstanding balances may be subject to interest charges at a rate of 2% per annum above the Bank of England’s base rate. We also reserve the right to recover reasonable costs associated with collecting late payments and may suspend further treatment until your account is settled.

5.1 Informed Consent

Your care is our priority. We will explain diagnoses, treatment options, and potential outcomes to ensure you can make informed decisions. Please ask questions if anything is unclear. You must inform us of any relevant medical history or changes in your condition.

With your consent, we will typically send a summary of your treatment to your GP to ensure continuity of care. If you are using health insurance, relevant clinical information may be shared with your provider to process your claim.

 

 

5.2 External Referrals

To provide comprehensive care, we may occasionally refer you to trusted third-party specialists for further investigation or treatment (e.g., imaging or consultant review). While we will facilitate the referral, you will be responsible for arranging and attending those appointments and will be subject to the terms and conditions of the third-party provider. We are not liable for services provided by external organizations.
